What are the minimum requirements for a pinch hit?

FANFIC: 500 words minimum (no max). Must be beta’d. FANART: One (1) completed piece. OTHER: Please contact the mods for info.

When do I need to have it done by?

The deadline for your completed work is 20 April. We know it’s a lot to ask on short notice, so we’re happy for you to create something based on a specific scene or idea from the prompt if necessary (provided it works as a stand-alone).

We will also check in with you on 15 April to see where you’re at with your fill. If you need an extension or have to drop out for any reason, you’ll need to let us know ASAP so that we can find another pinch-hitter if needed.

EXTENSIONS:

If you think you’re going to need an extension, now is the time to ask for one. In that case, please send us a copy of your current draft along with an estimated completion date to help us organise this year’s posting schedule.

We will do our best to give you as much time as possible, but we can’t accommodate everyone, so we will be prioritising later posting dates for pinch-hitters and those dealing with extenuating circumstances.

DROP OUTS:

If you find that you need to drop out, please notify us immediately. Anyone who drops out after this point without contacting us will not be eligible to participate in the fest next year.

Check-In and Posting Information 2025

Hello Glompers!

Check-in time is now upon us! An email will be going out shortly with a link to the check-in form, but until then, consider this a gentle reminder that you have just over THREE (3) WEEKS LEFT before it’s time to turn in your fill(s).

I’m ready to submit my Glompfest gift. How do I go about doing that?

STEP 1:

Post your completed and beta’d fanwork to our Merthur Glompfest 2025 Collection on AO3 here. Once it has been posted, your fanwork will be visible to us but remain hidden (unrevealed) to others until such time as it is revealed by the mods after April 1.

You are still welcome to make minor edits to your work until it has been officially revealed, but please don’t share it elsewhere until after the posting date.

NB: Don’t forget to add your Glompee’s name in the “Gift this work to” box! If you’re not sure of their AO3 username or can’t find them on the site, feel free to email us so we can sort that out for you.

STEP 2:

Copy and paste the form below into an email and fill out the relevant information. Please use the subject line: [YOUR USERNAME]: Gift for [GLOMPEE NAME].

Help! I’m not ready to post my gift yet. What do I do?

Don’t panic! All we need from you when you check in is confirmation that you’re still participating in the fest and are on track to complete your fill(s) before the deadline. Please make sure you fill out the check-in form before 1 MARCH to let us know how you’re doing with your gift(s)!

After that, you will have until 15 MARCH 2025 to complete your fanwork(s) and submit it to us. If you’re still not finished by that date, you will need to send us a copy of what you have so far and let us know when you expect it to be completed so that we can discuss the possibility of an extension.

We will do our best to be flexible if you need some extra time, but we do ask that you aim to have your work ready to go ASAP, as we can’t accommodate everyone and will be prioritising extensions for pinch-hitters and those dealing with extenuating circumstances. The sooner you get in touch, the easier it will be for us to accommodate you, so don’t leave it to the last minute!

Hello, Merthur fans!

Round 2 of Merthur Glompfest claiming is NOW OPEN!

You have until 2pm PST / 5pm EST / 10pm GMT on 27 Jan 2025 to send us your top three (3) prompt selections. Remember, prompts will be assigned on a first-come, first-served basis, so the sooner you get your form in to us the better your chances of getting your top pick.

WHAT HAPPENS NEXT?

Google Forms will automatically send you a copy of your responses once your claiming form has been submitted. If you don’t receive this email, please check your junk/spam folder and get in touch with us ASAP so we can confirm your submission has been received.

Otherwise, please allow at least 24 hours before contacting us with queries about your claim. We will be working as quickly as we can to strike off claimed prompts and confirm selections with each Glomper, but we expect there will be some delay as we check time stamps and respond to those whose selections have already been claimed etc. The fewer messages we have to get through, the quicker things will be for everyone, so assuming you’ve received a copy of your responses, please sit tight until we get back to you!

CALLING ALL MERTHUR FANS!

Thank you so much to everyone who has already submitted a claiming form; you should now have heard back from us to let you know whether or not your claims were successful. 

There are still [10] unclaimed prompts remaining (you can view them HERE), which means that we’ll be opening up a second round of claiming on 25 Jan at 2pm PST / 5pm EST / 10pm GMT for anyone interested!

Who can claim a prompt in Round #2?

Round #2 is a free-for-all, which means anyone who wants to can claim a prompt. That includes:

  • Glompers who have not yet claimed a prompt.
  • Glompers who have already claimed a prompt.
  • Glompees (as long as it’s not your own prompt).
  • People who are not officially signed up for the fest.

What do I have to do to claim a prompt?

If you have not yet done so, please make sure you:

  • read through the fest rules and FAQ here.
  • are familiar with the fest schedule and deadlines here.
  • check out our Claiming FAQ here. 

Otherwise, a link to the prompt claiming form will be posted here on tumblr once Round 2 goes live. All you have to do to claim a prompt is fill that out and hit submit! 

How long do I have to submit a claim?

In addition to being open to all, Round #2 is also a  ⚡LIGHTNING ROUND⚡ which means the claiming form will be open for 48 HOURS (until 27 Jan at 2pm PST / 5pm EST / 10pm GMT) or until all the prompts are claimed, whichever comes first. Any prompts not claimed after this point will be offered to our pinch-hitters as needed. 

As in Round 1, claims will operate on a first come, first served basis, so you’ll need to get in quick to nab your first choice. Shake a leg there, lazy daisies!
