INTRODUCTION

Enrolment is where you come into register for your chosen course or level. At enrolment

it will complete all necessary paperwork with you as well as checking your ID and

qualifications. You will also have the opportunity to speak to the persons whom you will

be dealing in the next school year.

Enrolment is the process by which individuals register to become a member or

participants within the group or organization. In this case, it was the beginning process

where there are things to be needed to check or give, pay and fill up before becoming

fully member on the certain organization such as Schools, Business Company and so

forth. Enrolment is also known in words such as Registration, Membership, Signing Up,

Matriculation and Admission.

Enrolment is under the system called Transaction Processing System or TPS. It is an

information Processing System for business transactions involving the collection,

modification and retrieval of all transaction data. Characteristics of a TPS included

performance, reliability and consistency. TPS is also known as Real Time Processing.

Background of the problem

Today, we are now engaging in the world of modernization most of the people preferred

to use a high-tech gadgets, machines, and etc. to finish their work in an exact time with

less time and effort. But instead of doing that some other schools or institutions must

considered to use the manual system because they said they are comfortable of using that.

institution is privately managed their enrollment process is still slow and as a result both

of the students and parents are having a hard time to enroll because the school uses the

manual process in their enrollment process. Students need to fill out the form and wait

until it is their turn to the registrar that will also that will exert a lot of time and effort.

The proponents develop an Online Enrollment System which can help the Bethany

School to lessen the time to encode each of the students information by logging in

internet, it may help everyone to access the internet. For the students they can easily

access and enrolled by means of the online enrollment system that is very useful and they

can even do it at home. In additional the proposed system will decrease the workload,

space and the time needed for enrollment process.

Overview of the current state of the technology

Although technology has giving the world a lot of changes when it comes to lessening the

workload of people and making their work more efficient and faster, there are still some

companies that do not adapt to this change. One establishment is the school wherein

some of their management processes like enrolment is still on manual work.

Some of the institutions, government sectors or government departments even the schools

are still using the manual system or what we call the old school system. That's because

they still in the process where the people will fill up the information sheet and then the

unsecured. And we found it inappropriate that may lead to loss their files and their

personal information.

Since the data and paper is stored in filing cabinets it consumes too much place, as the

amount of work done on paper increases the filing cabinets too increases. And they have

the common errors when entering data the registrar might have accidentally switched

details and data since it is hand written there will be unavailability for future use, since

data might get misplaced during manual filing so data wont be preserved properly for

future use.

The proponents of the study would want to reduce the processing of enrolment by making

it online. As the number of student increases, a lot of files are being kept in a filing

cabinet. As a result it is more prone to paper loss and human error. The proponents would

want to help the school in having a smooth and fast process of enrolment and accurate

school records.

Objectives of the study

The main objective of this study is to design and develop an online enrolment system

which will help the Bethany school of Las Pias Inc. to have a faster enrolment process

and organize student records. In the manual system, papers are used to fill out the

students information sheet and the possibility to loss the data is high.

1. Design and develop a registration module that will handle the registration of the

The current system or manual registration of the enrolment system sometimes

encountered misspelled names and slow retrieval of data the information of old

students and details are stored in different parts of the site and so takes a long time

to retrieve the data. It takes a long time to find the information about a relevant

person. And has a big issue in registering the student information. They had been

using manual way to file the student information sheets that has been filled by the

parent. When finding the student information in an emergency situation its a

waste in time when the whole system is still in manual and it is also inconvenient

for the teachers or employees.

2. Design and develop a module that can manage the schedule of the students

The manual processes of managing the schedule of the student are automatically

known when the enrolment weeks are closed. The school estimated the number of

student and divides it into particular rooms. When it comes in managing the

schedule of the student they wait the end of the enrolment before they declare the

section for every student.

The process of billing in manual enrolment system is consisting the name of the

student, enrolment fee, miscellaneous fee but no discount. As an additional

problem when it comes to their payment. The school has been using a calculator

and registered written receipts in processing the payment of an enrolee which is

difficult to manage their in enrolling their students. It is consuming more time and

have a negative feedback for every student and parents. It is hard for the registrar

to manipulate the process for particular students.

4. Design and develop a report module that will help in generating reports.

The current system of some school is properly generating the reports but

sometimes it consume more time because the assigned person for the module is

manually arrange the reports.

Scope and limitations of the study

Scope

This study aims to develop an online enrollment system to lessen the workload of the

registrar as well as to have a faster enrollment process and organize student records. The

proposed system includes student records, registration of returning and new enrollees,

class scheduling, faculty information and user information. The system will also include

the billing module for the payments of the tuition. Furthermore the system will also

generate reports such as the list of students.

Although the systems do have a billing module, the payment option that will be accepted

will only be cash and do not accept payment through credit cards. The system does not

cover keeping the hard copy of students requirements such as birth certificate.
