JOB DESCRIPTION

1. JOB DETAILS

Admin/Clerical Support Worker within the Blood Transfusion Department at the


Royal Cornwall Hospital in Truro. This is part time for 18.75 hours per week, as part
of a job share. The hours are currently within a framework of 08:00-18:00, spread
over a minimum of 3 days per week, but there may be some flexibility. These
arrangements are subject to continuing review.

2. JOB PURPOSE
 Collate and enter Trustwide training and assessment data
 Provide training statistics to all departments
 Provide support work for regulatory compliance
 Create, maintain, monitor and manipulate incident
databases
 File, collate and present patient based data
 Take departmental meeting minutes
 Apply departmental quality system to all aspects of the work
 Administrative duties for all transfusion training sessions

 To work as part of a team providing support to the


laboratory.
 To complete administrative duties
 To ensure Transfusion meetings run smoothly and
effectively
 To take a pro-active role in achieving standard compliance
 To receive, act upon and communicate messages.
 To ensure incident reporting is completed in a timely
manner

5. KNOWLEDGE, SKILLS & EXPERIENCE REQUIRED

Knowledge
 Extensive knowledge of computer systems e.g. ECDL or CLAIT
qualification.
 Experience in organisation & administration
 A good standard of general education (four CSE/GCSE passes,
including English and Mathematics)

Skills
 Keyboard skills
 High level of competence in Excel, Word and Access
 Capable of frequent and extended periods of concentration
 Works accurately with attention to detail
 Excellent written and verbal communications
 Exercises initiative in judgments involving straightforward job related
facts and situations, but applies the correct balance between using
initiative and seeking direction & guidance
 Accurate minute taking
 Motivated and a positive attitude to team work
 Ability to organise own work tasks and activities
 Calm and logical under pressure and able to cope with frequent
interruptions and changing priorities
 Able to work well in a team
 Good interpersonal skills

 Good hand / eye coordination and manual dexterity where speed and
accuracy are important.

6. KEY RESULT AREAS

 Data entry to various internal and external databases


 Clerical tasks including (but not exclusive to) filing, minute taking,
photocopying, scanning, reporting, producing training resources
 Produce activity documents, statistics and graphical data as required
 To be aware of and adhere to the requirements, policies and
procedures of the Quality Management System operating in Pathology
 Undertake appropriate mandatory training

7. COMMUNICATIONS & WORKING RELATIONSHIPS

 Work as part of the clerical team with a high degree of flexibility,


working with minimum supervision, promoting and developing good
relationships and a positive image
 To answer queries and telephone calls in an efficient and friendly
manner and to take appropriate action
 To attend regular laboratory meetings where appropriate
 To ensure that confidentiality is maintained at all times
 To manage and respond to emails in the transfusion administration
email group

8. MOST CHALLENGING PART OF YOUR JOB

 Ability to organise and manage multiple tasks – use of telephone and


computer, dealing with enquiries from staff. To manage the pressures
that this may cause.

Commission].

 The Post holder must comply with the RCHT Mandatory Training policy.

 The Post holder must comply with all RCHT Risk Management & Health & Safety policies &
procedures, including undertaking associated training as per the RCHT Mandatory Training
policy. NB: A post-holder who has managerial accountability will have the added
responsibility for the management and maintenance of the
department/division/directorate risk register[s], ensuring that all appropriate risks
are suitably identified, recorded via the appropriate routes, and acted upon. Specific
duties are outlined in the Risk Management Policy to which you must comply with.

 The Post holder must comply with all aspects of confidentiality, professional codes of
conduct [where relevant], the RCHT Staff Code of Conduct and the NHS Managers/Code of
Conduct.

 If it is thought that you have breached your code of professional conduct and/or the
Managers Code of Professional Conduct, the matter will be investigated in line with the
disciplinary policy as a matter of personal misconduct. Where there appears to be a case to
answer a disciplinary hearing will take place. At any stage of the process the Trust may
refer the matter to your professional registering body for their consideration under their own
registration review procedures.
