Reporting the Breakdown of Equipment/Machine, Tools and Utensils

Person in charge must make the necessary report regarding the breakdown of
machine/equipment, tools and utensils to furnish the report to the person responsible in scheduling
the trouble shooting and repair of any machine/equipment, tools and utensils that breakdown. A
conclusion as to the condition of the equipment/machines can be accurately made as to: a)
serviceable, b) repaireable and c) defective. The compiled reports will provide a ready database as
to the needs in terms of:

1. Machine parts to be purchased

2. Expenditures incurred for repair and purchase of machine parts
3. Labor requirement for preventive maintenance and trouble shooting

Safe work practices

 are generally written methods that define how tasks are performed while minimizing risks
to people, equipment, materials, environment, and processes.

Purpose of Workplace safety procedures and instructions?

The purpose of a safe work procedure is to reduce the risk to health and safety in the
workplace and reduce the likelihood of an injury by ensuring that employees know how to work
safely when carrying out the tasks involved in their jobs.

Different types of Workplace safety procedures and instructions

1. Handling chemicals – these involves procedures on how to handle chemicals in workplace

where these are used.

2. Lifting and moving objects – are procedures that pertain to how objects are to be lifted
and moved safely and without strain to the person or worker.

3. Working at heights – these are procedures that underscore what a worker must observe to
keep himself safe while working in an elevated structure or environment.

4. Slips, trips and falls – are procedures that pertain to safety procedures that should be in
place to prevent slips, trips and fall accidents in the workplace.

5. Housekeeping – are procedures that pertain to how housekeeping activities should be done
while keeping in mind safety, health and well-being of workers in a facility or workplace.

6. Electrical equipment – these are safety procedures that pertain to the installation, repair
and maintenance of electrical equipment.
Components or elements of Workplace safety procedures and instructions

1. Observe the task/activities: it is important to observe the task/activity being performed the
preferred way to ensure safest method is documented.
2. Record the sequence of basic job steps: write down the steps that make up the task/activity.
3. Record potential hazards of each step: Next to each step identify what may have potential
to cause injury or disease
4. Identify ways of eliminating and controlling the hazards: list the measures that need to be
put in place to eliminate or control any likely risk.
5. Test the procedure: Observe staff/student following the safe work procedure
6. Obtain approval: Before the safe work procedure can be used it must be approved by each
approver nominated.
7. Monitor and review: Make sure the activity is supervised to ensure the documented process
is being followed.
Terms are used when developing Workplace safety procedures and instructions

 Emergency situations/incidents – Any situation that may arise unexpectedly that could
cause injury or harm to any person in a workplace.

 Hazard identification and risk control – Identifying any hazard as a source of potential
harm to people, or damage to property, and reducing risk.

 Occupational Health and Safety (OHS) – OHS concerns the health and safety of all
people in a workplace

 Workplace accidents, injury or impairment – Unexpected events that cause physical

harm or damage to people or property.

Shutting Down Equipment/Machine

An equipment shutdown involves ensuring controls are in the OFF position and verifying
that all moving parts, have come to a complete stop.

Locate Emergency Stop Functions on Equipment

Equipment/Machine/ Device Emergency Stop Functions

1. Convection Oven It has an automatic safety shut-off handle

which automatically shuts off when the handle
on the lid is raised to an upright position

2. Food Processor/Blender It has an OFF and ON button that can be

pressed to operate the equipment

3. Refrigerator/Freezer The temperature controller also serves to turn

in on and off

4. Vacuum Pack Machine It has an OFF and ON button that can be

pressed to operate the equipment

5. Gas range/Electric Stove It has a control panel for switching the device
ON and OFF

Routine Maintenance Procedures

Regular maintenance activities should be in conformity with the manufacturers

specification. Usual maintenance procedure done with equipment/machines includes the
following:

 Tighten all electrical connections

 Check the parts of machines/equipment to determine if there are defects, wear and tear,
cracks, leaks, rust or corrosion

 Check if all parts are still present.

 Clean, sanitize and store equipment according to manufacturer’s specifications

 Check the condition of the equipment if they are serviceable, repairable or defective

 Apply lubricants/oil to parts that undergo corrosion and experience friction
