Our client, an INGO seeks to recruit an Executive Assistant for the CEO.

Key Accountabilities
Administration support, correspondence and Calendar Management
• Assisting the CEO with daily administrative duties and completing a broad
variety of administrative tasks that include managing an active calendar of
appointments; completing reports; composing and preparing
correspondence; arranging complex and detailed travel plans, itineraries,
agendas and compiling documents for meetings.
• Composing and preparing correspondence; maintaining contact lists; making
travel arrangements; and completing expense and mileage reports.
• Coordinating all Executive Team meetings, retreats and assist with staff
meetings and events as needed.
• Review correspondence (mail and email) addressed to the director and take
the appropriate follow-up actions as required.
• Preparing meeting agendas, high level power point presentations, compiling
reports and other documentation

Board Management support


• Acting as a liaison and provide support to the Board of Directors.
• Arrange and handle all logistics for Board meetings and events: schedule
meetings; draft agendas; develop, compile, and distribute presentation
materials; and record meeting minutes on behalf of the CEO.
• Communicating directly and on behalf of the CEO with Board members,
donors, foundation staff, and others on matters related to programmatic
initiatives as directed.
Representation and Liaison
• Manage and Interact with an extensive network of contacts at the most
senior level (both internal and external) and exercise judgment, tact and
discretion in answering and/or redirecting inquiries to appropriate sources
and in dealing with sensitive or highly confidential matters.
• Anticipate the director needs and proactively bring together appropriate
people and resources to support the executive in addressing issues.
• Perform liaison services on behalf to donors, Government Officials, other
relevant partners
Programmatic Technical support
• Completing a broad variety of administrative tasks that facilitate the CEO’s
ability to effectively lead the organization, including: assisting with special
projects; designing and producing complex documents, reports, and
presentations; collecting and preparing information for meetings with staff
and outside parties;
• Plan and coordinate all aspects of leadership meetings, including tracking,
monitoring and reporting on action plans
• Conducting research on prospective corporate and foundation donors to
identify and evaluate current needs and assembles materials needed for the
proposals.
• Complete projects by following up work with appropriate staff, including
the Executive Team, on behalf of the CEO.
• Work with the Executive Team to coordinate the CEO’s outreach activities.
Follow up on contacts made by the CEO to cultivate ongoing relationships.

Qualifications:
• Bachelor’s degree in any related field.
• Five (5) years’ experiences in working in a similar role, experience in INGO
is required.
• Previous experience working with development and fundraising programs to
increase donor contributions and funding sources will be an added
advantage.
• Strong oral and written communication skills including ability to draft and
edit a variety of correspondence and ensure quality of written outputs for
clarity of message.
• Ability to draft correspondence on a range of topics and ensure quality of
documents requiring approval and/or signature
• Excellent interpersonal and intercultural communications skills; maturity
and ability to interact responsively and tactfully with staff at all levels, with
demonstrated good judgment and discretion.
• Strong organizational skills and demonstrated ability to multitask and judge
priorities under extremely tight deadlines.
• Demonstrated ability to ensure total discretion, confidentiality and strong
personal ethics.
• Demonstrated ability to be proactive, exercise sound judgment, and use
problem-solving skills in dealing with unexpected situations, often under
pressure.
• In addition to a proven track record in areas such as judgment, reliability,
resourcefulness and flexibility, it is important that the candidate have a
positive attitude, be a self-starter and maintain composure under stressful
situations.
• Ability to create a positive and cohesive team environment
