INVITATIONS AND REPLIES

Invitation is a kind of personal notice sent individually to people. There


are two types of invitations-
(i) Formal invitations (ii) Informal invitations

It can be in the form of an invitation card, which is a formal way of


inviting people. It can be also in the form of a note or a letter, which is
an informal way of inviting people. For instance, inviting relatives,
friends, colleagues etc. to attend some particular function or an
occasion such as engagement, marriage, birth, death or public function
is an informal invitation. It is an essential part of social etiquette.
Informal invitations are addressed in freehand writing to friends and
relatives. Formal invitations may be in the form of
(a) Card or (b) Letter.
They are addressed in a fixed format to a person in a department having
a designation, with proper salutations.

1. FORMAL INVITATIONS

In a formal invitation card, one starts with the designation of the


organizer, followed by name and address of the host, details about the
date, time and venue of the function. The name of the chief organizer
with 'RSVP' (Repondez Sil Vous Plait which means Respond , if you
please) on the bottom left hand corner of the card.

Guidelines for Writing Formal Invitations

 Formal invitations do not include the name of the addressee.


 Formal invitations are always written in third person i.e. he, she
or it are used in place of I, you or we.
 The occasion, name of the invitee, name of the host, date, day,
time, venue etc. are written in proper sequence.
 Some more details like name, designation, address etc. of
organizer, sponsor or host should be included.
 If a VIP is invited, then the name of that VIP should appear
prominently.

Format of a Card

1. You are opening an exclusive parlour for ladies. Draft a formal


invitation for its inauguration with the necessary details.

2. INFORMAL INVITATIONS

Informal invitations are sent for personal occasions/to close friends or


relatives. They are written in the form of pe letters. The style is relaxed
and informal. Informal invitations can include personal feelings and
emotions.

invitation, inviting your best friend for its inauguration.

Replies to Invitations

Replies to invitation is written to the host in response to the invitation.


It also informs the host whether you are attending or not attending the
occasion. A good reply is always pleasant.

Formal Replies

Formal replies involve a certain standard and form. They are usually
very short and to the point. In a formal reply, first of all the invitation is
acknowledged for which thanks are written in third person. Acceptance
is communicated or regret is shown if the person is unable to attend the
occasion. In case of not attending specific reason is to be given.

Draft a suitable reply to the given formal invitation.

Informal Replies

In informal replies, simple language is used and the invitation is


acknowledged in first or second person. Acceptance is communicated
or refusal is regretted with a specific reason.
