We look forward to assisting you in the preparation of your function. We would like you to be completely familiar with our General Information and Conditions.
The Olive Tree Hotel room-hire charge pertains to all organizational groups and personal celebrations.
Up to 70 Guests Up to 60 Guests
All tentative bookings are kept for 14 days from enquiry date. The booking will be considered as confirmed upon receipt of the room hire cost and bond deposit, together with the completed Function Booking form. The deposit is to be the price of the room hire, which covers function staff, cleaning costs and sole use of the function room. If any damage is done to the rooms, the organizer of the function will be responsible for covering the costs.
* The Olive Tree Hotel reserves the right to ask for and retain a bond of $200 if any irregular cleaning or repairs are requi red following the completion of the hiring. This will be fully refunded in the event of the Venue being left in a satisfactory condition.
Final Payment
It is a condition that the final guest attendance numbers and food costs be finalized 7 (7) days prior to the date of the function. Payment of Catering and all applicable charges is required by 12 noon five (5) working days prior to function date. Sorry, no cheques accepted unless authorized by the Venue Manager prior to the Function. In the event of a courtyard booking on a Friday or Saturday night a minimum bar spend of $1500 is required. This is to be paid five (5) working days prior to the event. If this amount is not fully utilized at the completion of the function, any remaining monies will not be refunded.
Catering
We can happily cater for your event a number of different ways. We can provide a 2 or 3 course set menu for luncheons and or dinner parties for 30 or more people. We can also provide a selection of finger food both hot and cold, you may choose how many people you want to cater for as long as it is at least 75% of your final guest numbers.
Cancellation Terms
Once the function deposit is paid any cancellation should be at least 14 days prior to the function for a refund of the deposit. Any function cancelled within 14 days of the function will not have the function deposit returned. Any cancellation of function that takes place within 48 hours prior to the scheduled booking will not be refunded their money, and will be responsible for all food costs incurred.
All of the Olive Tree Hotel staff are trained and accredited in Responsible Service of Alcohol and by law may refuse alcohol to any person that is deemed to be intoxicated or disorderly. Similarly if a guest of the function behaves inappropriately they may be asked to leave the premises. The Hotel function rooms have a dress code of neat casual. No singlets or rubber thongs are permitted. No outside food, beverages or alcoholic beverages for consumption are permitted to be brought into a function unless previously authorized by the Function Manager; however, Guests are welcome to organize their own celebratory cake for the function. No adult entertainment is allowed at any function.
Entertainment
Live musical entertainment is permitted for all function rooms but is subject to certain noise restrictions. Please speak to our function coordinator to discuss this further. Please be sure to organise times for speeches, cakes and any other special requirements before the commencement of the function.
Decorations
Decorations such as balloons and banners are acceptable. Deliveries from party shops can also be arranged. Please inform our function co-ordinator if we will be receiving decorations prior to the function. Please note that crepe streamers are not allowed, nor is any display material to be nailed, stuck, screwed and/or stapled to any surface. Blu-tac is the accepted form to secure decorations.
Technical Requirements
The Function Room has a plasma TV that can be used as a digital photo frame. If required, simply transfer standard JPEG files onto a USB drive. (Please note that the TV does not recognise slide show programs) Alternatively you can connect your laptop via a HDMI cable or RGB cable. The Nook Caf also has a plasma TV, however it is not USB compatible. To use the TV as a photo board, you must have a compatible laptop with either a HDMI port or RGB port. (RGB cable not supplied). Please discuss any further technical requirements you may have with our function co-ordinator and we strongly recommend that you come in and test your equipment prior to your function.
Daytime functions can begin from 11am and must conclude no later than 5.30pm. Evening functions can begin anytime from 6.30pm and must conclude at 12am. Due to licensing conditions, alcohol will not be served after midnight. The Room is to be vacated no later than 12.30am.
Security
Due to licensing conditions, for a 21st Birthday Celebration a Security Guard will be provided at a cost of $100.
Business Seminars
Business seminars can be arranged for meetings, presentations and training events in the function room only. Seminar can begin from 8am and must conclude no later than 5.30pm. Room hire fees for business events is $50. This includes use of whiteboard and plasma television and a self serve tea and coffee station. Please check with our function coordinator about any technical requirements you may have. We strongly recommend you test any technical equipment prior to event to ensure compatibility. We can provide photocopies of documents if you require (print costs apply).
Insurance
The Olive Tree Hotel accepts no liability for loss or damage of merchandise equipment, exhibits or any other property prior, during or after your event / function. We recommend that organisers take out their own insurance cover.
Car Parking
Parking is subject to availability. The Olive Tree Hotel accepts no liability for loss or damage to vehicles.
* Please note that although prices are current at the time of quotation, Management reserves the right to revise any of the prices prior to confirmation of a booking.
