"Este manual originou-se da necessidade de padronização e instruções de normalização mais detalhadas para a entrada de termos de indexação. Almeja-se a recuperação da informação de maneira uniforme e apropriada nos sistemas de informação do Arquivo Nacional.  Além disso, este trabalho objetiva nortear uma política de indexação  –  mais  voltada para arquivos  –  e proporcionar a todos os técnicos envolvidos com processamento de acervo uma referência para reflexão. Aponta, igualmente, práticas e processos para a criação e seleção de termos e regras para entrada de termos gerais e específicos visando ao acesso, à geração de índices e ao controle de  vocabulário. Não se trata de um documento definitivo. O processo de indexação e padronização de entrada de termos é contínuo. Este manual será revisado e atualizado sempre que for necessário."

We are so accustomed to use digital memories as data storage devices, that we are oblivious to the improbability of such a practice. Habit hides what we habitually use. To understand the worldwide success of archives and card indexing systems that allow to remember more because they allow to forget more than before, the evolution of scholarly practices and the transformation of cognitive habits in the early modern age must be investigated. This volume contains contributions by nearly every distinguished scholar in the field of early modern knowledge management and filing systems, and offers a remarkable synthesis of the present state of scholarship. A final section explores some current issues in record-keeping and note-taking systems, and provides valuable cues for future research.

It is a book that tries to fuel the debate about archives in different fields of research. It shows that in these liquid times, archives need and deserve to be considered from different angles. “Archives in Liquid Times” is a publication in which archival science is linked to philosophy (of information) and data science. Not only do the contributors try to open windows to new concepts and perspectives, but also to new uses of existing concepts concerning archives.

The articles in this book contain philosophical reflections, speculative essays and presentations of new models and concepts alongside well-known topics in archival theory. Among the contributors are scholars from different fields of research, like Wolfgang Ernst, Geoffrey Yeo, Martijn van Otterlo, Charles Jeurgens and Geert-Jan van Bussel. This book includes interviews with Luciano Floridi and Eric Ketelaar, in which they reflect on key issues arising from the contributions. The editors are Arnoud Glaudemans, Rienk Jonker and Frans Smit.

Os avanços das tecnologias da informação contribuíram para a disseminação de suas ferramentas na sociedade. Da mesma forma, estas ferramentas foram introduzidas no campo arquivístico, resultando no advento do documento arquivístico digital. Sua rápida introdução na Arquivologia trouxe dúvidas em relação a sua autenticidade e confiabilidade quando preservados em longo prazo. Desta forma, este artigo tem por objetivo demonstrar o papel da diplomática contemporânea na preservação digital. Partindo dessa abordagem interdisciplinar, juntamente com os fundamentos da preservação digital, podem-se obter documentos arquivísticos digitais autênticos, promovendo o acesso contínuo em longo prazo.

THE FUNDAMENTALS OF CONTEMPORARY DIPLOMATIC IN PRESERVATION OF DIGITAL RECORDS

ABSTRACT
Advances in information technology have contributed to the spread of their tools in society. Likewise, these tools are introduced in the archival field, resulting in the advent of digital record. Its rapid introduction into Archival Science brings up doubts about its authenticity and trustworthiness when preserved in long term. Thus, this article aims to demonstrate the role of contemporary diplomatic digital preservation. From this interdisciplinary approach, along with the basics of digital preservation, can be obtained authentic digital record, providing continuous access in the long term.

Resumo: A evolução das tecnologias da informação atinge diversas áreas do conhecimento. Neste contexto, ocorreu o advento do documento digital, responsável por transformações de ordem teórica e prática na Arquivística. Dentre estas transformações surge a necessidade de reformular conceitos como os de documento arquivístico e até mesmo a presunção de autenticidade. Como consequência, o documento digital foi incorporado ao arquivo em virtude de sua relação orgânica com os demais documentos. Neste sentido, são analisadas as transformações na ótica das sete funções arquivísticas, enfatizando as peculiaridades referentes aos documentos digitais. Por fim, ressalta-se que há necessidade de criar estruturas de metadados desde a produção, as quais irão auxiliar na classificação, avaliação, preservação digital, presunção de autenticidade, otimizando a busca e a difusão dos documentos arquivísticos.

THE DIGITAL DOCUMENT IN THE CONTEXT OF FUNCTIONS ARCHIVAL

Abstract: The evolution of information technologies affects many areas of knowledge. In this context, there was the advent of digital document, responsible for theoretical and practical transformations in the Archival Science. Among these changes comes the need to reformulate concepts such as archival document and even the presumption of authenticity. As a result, the digital document was incorporated into the archives because of its organic relationship with the other documents. In this sense, the changes are analyzed from the viewpoint of the seven archival functions, emphasizing the peculiarities relating to digital documents. Finally, it is emphasized that there is a need of creating metadata structures since the production, which will help in the classification, evaluation, digital preservation, authenticity presumption, optimizing the search and dissemination of archival documents.

Il gesto di lasciare testimonianza del colloquio con i propri libri e di rappresentarsi nella continuità dei lettori ha attraversato persone di ogni tempo e condizione in una logica consuetudinaria che ha alimentato l'identificazione di sé e il senso di apparteneza ad una comunità. Confidando sui segni di appropriazione e di riconoscimento apposti dagli uomini e – in misura minore – dalle donne dei chiostri, i saggi mirano a ricomporre le tracce disperse della longa memoria libraria claustrale muovendo da una fonte unitaria di straordinario valore approntata nel clima di rigoroso controllo delle letture attuato dalla Congregazione dell'Indice dopo la promulgazione dell'Index librorum prohibitorum di Clemente VIII (1596). Facendo tesoro dei risultati fin qui ottenuti nell'ambito del Progetto di Ricerca sull'Inchiesta della Congregazione dell'Indice dei libri proibiti (RICI), si è inteso animare l'immagine di alcune raccolte librarie fotografate nel corpus dei codici Vaticani latini 11266-11326, delineandone la fisionomia istituzionale e bibliografica e ripercorrendone le vicende e gli itinerari della dispersione.

A preservação de documentos arquivísticos digitais é uma necessidade que surge conforme estes documentos vão ganhando relevância, agregando valor social, histórico e informativo. Logo, deve-se pensar em estratégias e políticas de preservação digital que garantam o acesso em longo prazo. Neste contexto, a preservação de muitos documentos arquivísticos irá depender de estratégias baseadas na conversão de formatos, onde se escolhe um novo formato para a transferência da sequência de bits. O momento da escolha do novo formato é tido como um ponto fundamental, isto porque pode gerar perdas de informação ou retrabalho de conversão futura. Tendo em vista a falta de critérios para a escolha dos formatos de arquivo para a preservação, este artigo tem por objetivo definir aspectos relevantes para avaliação e escolha destes formatos. Para isto, realiza-se um estudo de natureza aplicada, com abordagem qualitativa, baseado no levantamento bibliográfico. Desta forma, destacam-se entre os resultados o uso de formatos de código aberto, amplamente utilizados e não comprimidos. Por fim, ainda deve-se chamar a atenção para a qualidade do conversor utilizado no processo, além preservar os metadados do documento original, bem como incluir os metadados referentes ao registro da sequência de conversões realizadas.

STANDARDIZATION OF FILE FORMATS: a way to preserving the digital archival documents

Abstract:
The preservation of digital archival documents is a need that arises as these documents are gaining relevance, adding value social, historical and informative. Therefore, one should think of digital preservation strategies and policies that guarantee access in the long term. In this context, the preservation of archival documents will depend on many strategies based on conversion format, which is choosing a new format for the transfer bit sequence. The moment of choice of the new format is seen as a key point, because this can cause loss of information or rework future conversion. Given the lack of criteria for the choice of file formats for preservation, this article is to define relevant to evaluation and choice of these formats. For this, we make a study of applied research, with a qualitative approach, based on the literature. Thus, we highlight the results of the use of open source formats, widely used and uncompressed. Finally, I must draw attention to the quality converter used in the process, and preserve the metadata of the original document and include the metadata for the record of the sequence of conversions performed.
