Setting Up Your Cold Email Machine

Introduction

Cold email is the most efficient outreach system to set up for a B2B business. The system only
takes a few hours to set up and minimal time investment to maintain.

Once you understand the system you can give this guide to your VA and make your life even
simpler.

Buying Domains

We buy burner domains for cold email to avoid damaging the reputation of your main
domain.

And for each domain we want to create between 2-3 email accounts.

And from each email account we want to be sending between 20-50 emails a day.

Choosing Your Domain Name

You want to buy domain names that are similar to your main domain. There are numerous
hosting providers.

So for example if your main domain for your agency is called Horizon.com

You can buy domains like:


Horizondigital.com
Horizonmedia.com
Horizonadvertising.com

I tend to buy my domains from Go Daddy. It comes at an extra cost but its 100% worth the
extra cost compared to cheaper alternatives like Namecheap as I have previously had
deliverability issues with them.

When choosing a domain name, I recommend avoiding .co domains as they generally have
poor deliverability compared to .com, .net, and .io domains.

.Io domains are slightly more expensive - which means spammers tend to avoid them.

Choosing Your Email Service Provider + Creating Email Accounts

There are two email providers worth using Google.com + Zoho.com (cheaper alternative)

Outlook is tricky to set up, horrible interface lol and Microsoft support sucks.

For this guide, I am going to walk through how to create an email account using Google.

First, we need to go to https://workspace.google.com/intl/en_uk/

Follow the on screen instructions until your Google Workspace account is set up.

Then add all of your domains to the Google Workspace account.

You can create 2-3 email accounts per domain.

Maximising Deliverability

To make sure our emails are landing in our prospects inbox, we need to set up SPF, MX,
DKIM AND DMARC.

If you followed the guide and purchased your domains from GoDaddy. After connecting your
domains to Google Workspace- Google will automatically create your SPF and MX records
in your Domain DNS.

We can check this by viewing on DNS Manager. You should only have 1 SPF record in DNS.

Setting Up DKIM

1. Login to Google Workspace and locate your Gmail settings.

2. Click on main Menu and select Apps > Google Workspace > Gmail

3. Click on “Authenticate email”. This will direct you to generate your DKIMN record.
Make sure you have the correct domain selected. Click on “Generate NEW Record”
and keep the default settings.

4. Now you can copy the data from Google Workspace to your Go Daddy record. Once
you do it, you can start authentication.

Note: Do not close this tab because you will need DNS Host Name (Txt record name)
and TXT record value for creating DKIM in your GoDaddy settings

5. Sign in to your GoDaddy account and locate the domain where you want to set up
the records

6. Next to your domain name, there are three dots. Click on them and select “Manage
DNS”.

7. On DNS page, create another DNS record by clicking on “Add” button under “DNS
records”

8. Now copy and paste the DNS Host Name and TXT record value and paste them as
your new DNS record

9. The TT field you can leave as a default value.

10. Save it and wait for confirmation, DKIM has been set up

11. Go back to Google Workspace authentication page and click on “Start


Authentication”.

Note: You may need to give it some time to finish. If you get an error message as an image,
make sure you save your record in GoDaddy DNS and try authenticating again in a few
minutes.

Setting Up DMARC

Note: DKIM should authenticate messages for at least 48 hours turning on DMARC.

DMARC record is a TXT record that you’ll need to put into GoDaddy DNS. To help us
generate DMARC record we can use third-party websites like
https://dmarcian.com/dmarc-record-wizard/

1. Sign into your GoDaddy account and locate the domain where you want to
set up the records.
2. Click the three dots next to it and select “Manage DNS”
3. Under DNS records, click on Add:
4. Save the record in your GoDaddy DNS, wait for the confirmation and you are
done.

You can then verify that your DMARC record has been added using another a third party
website like this:

Setting Up Forwarding To Your Main Domain

You want to make sure that all of the alternative sending domains are forwarded to your
main domain.

Just like the previous steps, it is also set up in your domain providers settings.

Connecting Email Accounts To Instantly

Instantly is my choice for email sending software.

Now that we have created all of our email accounts we need to make sure its connected to
Instantly.

Here’s the step by step guide by Instantly on how to connect Google Workspace email

Once you have connected your email accounts to Instantly, then you want to enable warmup
by clicking on the flame icon and letting the system automatically warm up your email
accounts for at least 2 weeks before sending out any emails.

After connecting your sending accounts to Instantly you can check if SPF, DKIM and
DMARC are set up correctly on the “Test Domain Set Up” button.

If everything is done correctly, you will see a confirmation message pop up.

Setting Up Your Own Custom Tracking Domain

Just like SPF, DKIM and DMARC, your custom tracking domain can be set up with a simple
DNS record entry in your domain providers settings.

Here is how to set up a custom tracking domain with GoDaddy and Instantly:

To make sure your custom tracking domain works, click “Check Status” in each of your
sending accounts. If everything is correct, you will see green check marks next to CNAME
verified and SSL verified.
