Scene 1: The Consulting Firm Office

Dr.Rozita is seated at her desk, reviewing project documents. Johan enters the office.

Johan: Dr.Rozita, I wanted to update you on the procurement status. We're in the final
stages of selecting suppliers for the construction materials.

Dr.Rozita: That's good to hear, Johan. We need to keep things moving to meet our
deadlines.

Johan: Absolutely. (hesitantly) There’s something else... Alice from Alice in Wonderland
Supplies has been very keen to work with us. She’s even offered some…(smirk) incentives
to ensure we select them.

Dr.Rozita: (concerned) Incentives? Johan, are you talking about bribes?

Johan: (laughs nervously) Well, she’s offered gifts and some financial benefits. But she
assures me it’s just to sweeten the deal.

Dr.Rozita: Johan, we must maintain our integrity. I’ll have to think about how to handle this.
For now, don’t accept anything and keep all interactions strictly professional.

Scene 2: The Plant Owner’s Office


Dr.Rozita meets with the Plant Owner.

Plant Owner: Dr.Rozita, I need this project completed as soon as possible and within budget.
Any delays are costing us money.

Dr.Rozita: I understand your urgency, but there are some issues we need to address. There
have been offers of gifts from suppliers, which could be construed as bribery.

Plant Owner: (impatiently) We can’t afford delays, Dr.Rozita. Do whatever it takes to keep
things on track, but make sure everything is above board.

Dr.Rozita: Of course. We will expedite the process, but we need to ensure that everything is
compliant with regulations and ethical standards.

Scene 3: Michael’s Office

Michael, the Regulatory Compliance Officer, is reviewing the procurement documents


when Dr.Rozita walks in.

Dr.Rozita: Michael, I need your help. There have been some questionable offers from a
supplier to our Procurement Manager. We need to investigate this to ensure everything is
compliant.

Michael: I had my suspicions. I’ll start a careful review of all procurement activities and
interview the involved parties. We cannot compromise on compliance.

Dr.Rozita: Thank you, Michael. We need to ensure that the project is not only completed
efficiently but also ethically and legally.

Scene 4: The Investigation

Michael and Emily are in the middle of their investigation. Micheal sits with Johan in a
meeting room.

Michael: Johan, can you explain the nature of your interactions with Alice from Alice in
Wonderland Supplies?

Johan: She’s been very persistent in trying to secure the contract, offering gifts and financial
incentives. I’ve kept everything professional and have not accepted anything.

Michael: We must maintain transparency. I’ll need all correspondence and records of your
meetings with her.

Emily then interviews Alice.

Emily: Alice, can you confirm the nature of your dealings with Johan regarding the
construction materials contract?
Alice:(nervously) I might have offered some incentives to highlight the benefits of working
with us, but I assure you, it was all meant to establish a good business relationship.

Emily: Offering gifts in exchange for contracts is against our policies and could be
considered bribery. We will review this thoroughly.

Scene 5: Resolution

Michael, Dr. Rozita, and the Plant Owner sit in the Plant Owner’s office.

Michael: After a thorough investigation, it’s clear that there were offers of bribes. We need to
ensure this doesn’t affect our procurement process.

Plant Owner: This is serious. Dr. Rozita, make sure we cut ties with any suppliers involved in
these practices. Michael, implement stricter oversight of our procurement process.

Dr. Rozita: Agreed. We’ll take the necessary steps to prevent this from happening again. Our
priority is to complete the project ethically and within regulatory compliance.

Michael: I’ll also arrange training for our team to reinforce the importance of compliance and
ethical behaviour in all dealings.

Plant Owner: Good. Let’s ensure our integrity remains intact as we move forward.

Scene 6: Training Session

Johan, Michael, and a few co-workers attend the training session by Emily in the
seminar room.

Emily: Hello good morning, everyone. Thank you all for coming today and in this session, we
will take the moment to reflect on the past. I'm sure some of you still remember and are aware
of the challenge and inappropriate behavior that our company faced back then. I just want to
make sure all of us are on the same page moving forward.

Emily: Well, I would like to highlight three key points: accountability, integrity, and
transparency, which are central to our company's ethical guidelines on bribery and gift
acceptance. Even small gifts can be problematic if they're meant to influence business
decisions. If there's any uncertainty, it's best to consult with the compliance officer or our
manager before accepting anything.

Michael: That makes sense. So, what should we do if we’re offered a gift?

Emily: The best action is to politely decline and explain our policy. If you get a gift without a
chance to decline, report it to your supervisor or compliance. They’ll tell you what to do, usually
returning the gift.

Johan: Got it. And what about transparency? Should we document these instances?
Emily: Absolutely. Transparency means keeping everything clear and open. Make sure to
document the details and report them as soon as possible. This helps maintain transparency
and protect both us and the company.

Johan: Emily, how does a company ensure compliance with anti-bribery laws and policies?

Emily: Our company has clear policies and procedures; hence we provide regular training and
leadership via culture and education. We also establish confidential reporting systems,
conduct regular audits, and risk assessments, and have enforcement and disciplinary
measures.

Michael: Emily, can you describe typical procurement procedures for the company?

Emily: Typical procurement involves the approval of purchase requests and identification,
supplier identification and selection, bid evaluation, and contract negotiation. Next, purchase
order issuance, order fulfillment, payment processing method, record keeping, and audit play
a crucial part.

Johan: Thank you, Emily. This session was very useful for us. Next time, we will be more
aware of bribery and ethical situations.

Michael: I hope that we learn from the past incidents and make necessary adjustments to
strengthen the company’s defenses against bribery.

Emily: To end our discussion, we can conclude that being ethical in project management is
crucial because it builds trust between coworkers and employers, ensures stakeholder
satisfaction, maintains legal compliance in a company and lastly maintains the company
integrity for a long-term success.
