 Candidate number

 Territory

 School name

 Center number

PROBLEM DEFINITION

When writing the Problem Definition, you are to ensure that the following areas are addressed:

1. Where the problem is occurring

2. Who is being affected
3. The nature/background (of the problem) that shows the context in which the problem
exists (the effects or how persons are being affected should be mentioned here)

Nb. Ensure that what is mentioned as being an effect can be solved by using an IT based
solution, otherwise leave it out….keep solutions within context.
Look for the nature of the problem in terms of areas such as:

- Performance
- Efficiency
- Security

*Pay attention to the scope (narrow it down)

 Do not state the causes of the problem in this section, state instead the effects the problem
have on the organization’s stakeholders.
 Do not include solutions in this section of the report.

GHANT CHART

1. Must include all the stages of the problem solving process.

2. Ensure the charts are accurate and labelled
3. Ensure the time frame is realistic

*best to use a software to generate one

ANALYSIS OF THE PROBLEM

1. Pay careful attention to fact finding methods

2. Use at least 3 methods
- Interview, questionnaire, observation, document review (see Kendall &Kendall)
3. Use spreadsheet features to help with the analysis…(to create graphs and charts)
4. Students should only include graphs where appropriate
5. Students should avoid recommending solutions at this phase of the SBA.

*describe methods of data collection, presentation of data (charts and graphs) and interpretation
of data.
IDENTIFICATION OF POSSIBLE SOLUTIONS

1. At least TWO IT based solutions

2. Show how tools can be used to solve the problem. Explain how.
- Look at areas such as processing methods (state what methods and how data will
be processed using this method)
- Network technologies (can use diagrams and explain what network will be set up)
- Automation
- Software (eg. Custom, commercial, productivity tools)

The features to be considered are:

 Procedures

 Personnel and end users

 Network technology (if any)

 Software alternatives

 Hardware alternatives

EVALUATION OF POSSIBLE SOLUTIONS

Ensure that each possible solution is evaluated based on operational, economical and technical
aspects.

These areas will include:

 Software tools
 Hardware tools
 Networking for communication
 Time frame
 reliability
 Legal issues
 Environmental issues
 Training
 Total cost

Students are expected to evaluate all identified solutions. All the necessary elements as they
relate to their implications on the economic, social, political, technical, operational and schedule
feasibility for the organization or individual should be examined. Students should elaborate on
the elements and the weights assigned to each, and the reason for that assignment.

SELECTION OF SOLUTION

1. Choose the most feasible solution

2. Base choice on objective evaluation
3. Give evidence to support your choice
4. Look at resources required to implement solution

JUSTIFICATION OF SOLUTION

1. Analyze the issues in relation to the implementation of the solution (eg. Privacy, security,
etc)
2. Look at strategies for dealing with the issues in the system
3. Give appropriate justification for all strategies
4. Use SWOT analysis
