As your request please find the advantages in regards with going with a professional property
management company. Under our scope of services we aim to bring a complete control in
management of your community with a professional and best in class approach.

Advantages in Association Management Services Include:-

(i) Digital control and Dash Board:-

With our partner vendors we invest and implement a digitally enabled Enterprise Resource
Management system within the gated community, through which we maintain and record
the community related day to day operations. This provides us the required visibility,
accuracy and record keeping for the community. Therefore all the Maintenance bills,
Service Requests, Complaints, Gate Pass Issuance, Visitor Management and complete
Security Control shall be monitored through this dashboard. (Training on how to use shall
be provided to all the residents in the society and a help manual for the same will be
available with the property manager).

(ii) Complaints and Request Monitoring and Tracking from our back end staff:-

All complains and Requests within the property will not only be taken care of the facility
officer but will be monitored closely by our back end staff as well. With our Strict In-House
quality control procedures we aim to resolve maximum issues within a maximum time of
2 days.

(iii) Bi-Weekly training and 24 hours Support from Back Office Management:-

Our back office staffs consist of highly trained and experienced members. All the Issues,
Service levels, Security aspects are weekly monitored and controlled from our back office
team with our own Quality Procedures. We conduct Bi-Weekly onsite training to the
facility staff in terms of grooming, hospitality and Service levels.

In such trainings we shall meet the association and residents to discuss the on-going issues
which require changing the SOP, Monetary assistance, or any Financial planning that has
to be implemented. A Monthly Report on our service level agreements is also shared with
the association members for whom a feedback from the residents will also be submitted
along with the feedback.

We as well provide 24 hours emergency support in case of any Incidences and occurrences
within the community.

(iv) Rental Management within the building:-


We shall coordinate directly with the owners of the Flats for any Tenant related formalities
and issues. As a security procedure we shall collect the Bio Data of all the residents residing
in the Flats. We shall help and assist the owners in any works which has to be undertaken
after the tenant vacates. As well we shall guide the tenants in showing the flats. Once we
get a confirmation from the owner, we shall have a criminal verification and a police
verification done and issue a no objection letter.

(v) Strict SOP implementation:-

Once the SOP is accepted by the Association, we shall implement a strict SOP in regards
to it. The approved SOP shall be shared to each and every flat. Residents will be informed
regarding any change of SOP on a regular basis through an Email or from Notice Boards.
A separate form will be shared to the residents for requests in any changes of the SOP, the
same shall be discussed in the next association meeting and based on the approval we shall
implement the same. SOP for the Gated community can only be designed after the start of
the services which will be made after observing the current processes.

(vi) ) Metric based performance monitoring for all the vendors and Best in Class
management practices:-

At PropSquare follow the best practices and have strict Quality control procedures in Place.
All the vendors which are selected and approved by PropSquare shall undergo complete
checks on statutory compliance, Client feed backs etc. And upon the selection, we have put
in place the necessary KPI within the Community who upon failing shall be liable for
termination. At PropSquare we are one of the first who are implementing a KPI’s Based
program within the communities for all the vendors and for self-evaluation basis. A
document and information of which shall be shared to the community separately.

(vii) Direct Peer to Peer communication with PropSquare even for the
smallest of the smallest Issue:-

Since we are the intermediary between the association and Residents, and we maintain a
direct communication between the residents and the association. We follow a personalised
approach in understanding there requests, Issues and feedbacks and maintain a peer to peer
communication management system. We are open to solve even the smallest of the smallest
to satisfy the residents. All requests are made through a special channel set up with the
community and shall be resolved in a personalized manner.

(viii) Digital Maintenance bill collections:-

We shall collect all the maintenance bills are now digitally available in there respected
digital dashboards. Therefore the residents can now directly log in and pay their bills
through online credit cards and net banking provisions.

(ix) Government communication Support:-

As a Representative of Owners Association, PropSquare shall directly follow up with all


the government related works relating to the Community. This includes coordination in
paying electricity and water bills, documenting and following up the necessary Government
departments in getting the work done.

(x) Maintenance of Hard Services Include:-


With our In-House Team and qualified vendor list for STP, Water Softeners, Elevators,
DG, electrical and plumbing etc we shall directly maintain and share the best of the vendors
for maintaining the hard Services. Operations of the BMS systems shall be directly under
our own supervision.

Advantages of Manpower Services Include:-

Some of the main advantages with PropSquare include the availability of In-House Facility
management Team, through which we have a complete control on costs associated with Soft
Services. Since we are the In-House providers though ‘Paramount Facilities Services’ of Soft
services, we cut costs directly upto 20% on such services.

Paramount Facilities Services is a 25 year old company specialising in facilities services for all the
commercial establishments and well as residential establishments. With notable clients as such
Axis Banks, Spar Hypermarkets, we are one of the top 10 service providers in Telangana and
Andhra Pradesh.

With regards with the Quality of Services Being provided:-

• Security Guards:- 2 days of Training Given prior to the Deployment, Minimum 10th Pass
who are able to read and Write in English, Minimum of 2 years’ experience in the field of
Security or High in IQ, Attitude Test with minimum passing mark of 80%, Minimum 5.5
of Height, Weekly on the Job Training by Ex Service Men, Training in Fire Control
Procedures and Panic Management. We are also a PSARA Licenced Company

• House- Keeping:- All our House Keeping Personal are Back Ground Verified. We have a
Separate Department with looks after HK, Gardening and Pest Management Solutions. The
Department is head by a Separate Appointed DGM who has rich experience in working in
Various Facility Management Companies. A Proper Schedule and a Checklist is provided
before the enrolment of staff. And we train the Staff in Site Specific HK Activities as per
the Schedule Prepared by the DGM.

• Gardening and Landscaping :- We are having a tie-up with Local Nursery where we
source our Plants and Chemicals Required for Maintenance of Plans and Lawn Areas. All
Gardening staff deployed will have experience working in a similar field. Monthly once we
also have a Special Consultation Visit by the Vendor who provide inputs of Chemical usage
and Other Advisory Services. Hence we use the best practices and Constantly throughout
the Period our Services and Manpower. A Periodic Observation – Correction – Train
Strategy is established through which we bring in the Maximum Output from our
Manpower.

• Property Manager:- 1 Week of Training Given Prior to the Deployment, Excellent in


English, Telugu and Hindi Communication, Minimum Under Graduate Pass with 70%
above percentage, Attitude test with minimum of 95% passing mark, 4 hours of written
exam on SOP prior to deployment with minimum passing mark of 80%, Minimum of 4
years’ experience in the field of Facility Management, No Criminal Back Ground Check.
We constantly Monitor the Performance of our Property Manager by taking the feedback
directly from Residents and Manpower working under him. We take Stringent Action on
FM if he fails to monitor the Site as per the Company and Client Expectations.
• MEP and Technical Services:- Usage of In-House electrician and Plumbing Services,
Minimum of 4 years’ Experience in the respective field. We have a Dedicated Technical
Department Headed by Ex-Army Person who has a strong and Rich Experience in
Maintenance of HT/LT Panels, STP and WTP Operations, Mechanical Operations
Including Genset Maintenance. We also have HT/LT Licence who can Carry out Periodic
Maintenance. We also provide Training in Safety Aspects to our Electricians and Plumbers
whenever needed to make sure any Safety Related Issues do not occur at the Site Level.
• STP and WTP Services:- We are currently managing over 4 STP Plants and 2 WTP
systems and processing up to 1 Lakh KLD handling Both types of STP (MBBR and SBR)
units. We have specified and Specialist Vendors who can take care of all Activities needed
for Regular Maintenance of these Systems. Every Month we take Water Sample and share
with all the Residents. Any STP or WTP Work we have a TAT of 7 days for any time of
Major Break Downs. We have a strong network of Team and Standby Motors wo make
sure your Critical Assets are always in Running Status.
